OnPsych is an Australian psychology provider, and the part that makes their admin genuinely hard is Medicare. In Australia a patient usually can't just book and pay — they come in on a Mental Health Care Plan their GP has written, which entitles them to a set number of Medicare-rebated sessions each year. Every session then has to be billed under the correct MBS item number, against the clinician's Medicare provider number, and either bulk-billed straight to Medicare or invoiced so the patient can claim the rebate back. Get any of that wrong and the claim bounces.
So I built the portal around that billing flow instead of bolting it on afterwards. Each client carries their referral and care-plan details, and the system keeps count of how many sessions they've used against what Medicare allows, so nobody books a session that won't be covered. Once a session is delivered it becomes a Medicare claim with the right item number and provider details attached, and the rebate coming back from Medicare is matched against it — so the practice can always see what's been paid and what's still outstanding.
Because Medicare is effectively the government paying most of the bill, accuracy matters more than anything here. The whole point was to make the claiming reliable and fast rather than something reception dreads at the end of every day.
Around that billing core sit the everyday things a busy practice needs — appointment scheduling, online sessions over Zoom, client records, staff HR and payroll, and the accounting — all behind role-based logins so clinicians, reception and management each get their own view.
